CRM Implementation and Optimization

About our Organization:

Music has the power to change the life of one child - that we all know. But the power to create goes far beyond the development of one individual student. It ripples out into the community spreading itself without limitation. Play it Forward provides musical instruments, instruction and inspiring opportunities to children in need throughout the Pacific Northwest.  

Play it Forward  (PIF) accepts and, in turn, donates gently used musical instruments to individual students in need, musical organizations and other student-based outreaches. PIF donates over $250,000 in instruments throughout the Portland Metro area, reaching hundreds of students per year.

PIF also provides semi-private piano lessons to students throughout the Portland area by partnering with schools and other organizations involved with serving at-risk youth. PIF sends qualified music instructors to meet students where they are and teach piano lessons. This fall, Play it Forward will enroll 100 students in our piano lesson program. Each student enrolled in piano lessons will also receive a piano.

Students enrolled in Play it Forward piano lessons are required to perform at an annual piano recital for their parents and community, reaching families, administrators and community members.  Last year, or recitals reached over 200.  Our founder, Michael Allen Harrison began raising money for Music Education at his concert, Ten Grands, 20 years ago. 

Play it Forward has been and continues to be a beneficiary of this amazing fundraising concert.  Ten Grands for Kids is another way that Michael reaches out to kids in the community, inviting them to a free show, just for them, at the beautiful and historic Arlene Schnitzer Concert Hall.  Play it Forward is the event organizer for this inspiring show.

Time commitment:

Medium project, 60-120 hours. Flexible hours around your schedule. Ideally completed within 3-4 months of start date.

Project Description:

Play it Forward is growing locally and is hoping to create new chapters in other states. In order to expand efficiently in a secure format, PIF needs a scalable master database that captures, tracks, sorts and reports on instrument and cash donations, funders and sponsors; current and prospective instrument recipients; PIF piano teachers, teacher logs, students, lesson sites and sharable scheduling features; email marketing capabilities; integrated online forms including inventory/distribution and scholarship requests; data/results usable for grant writing purposes; and can create automated correspondence and reminders. PIF is currently using a combination of Airtable and Google Sheets to track its donor and organizational information.

Key Deliverables:

  • Confirm specific functionalities and goals of desired CRM
  • Vet CRMs and compare with current database to determine which is best fit for Play it Forward
  • Optimize CRM field configuration for management and reporting and for easy end user experience
  • Develop processes and implement CRM
  • Precisely document workflow
  • Provide training to staff to maximize ROI

Knowledge, Skills, Abilities Required:

  • Demonstrated CRM design and implementation and optimization experience including customized process building
  • Excellent project management and operations background
  • Database applications
  • Donor software
  • Training and coaching staff

Education/Experience:

A thorough understanding of CRM comparative analysis and proven, past successful implementation and optimization for unique nonprofit needs. An understanding of non-profit donor stewardship, communications and inventory/distribution tracking very helpful.

Resources:

The Project Champion is the CEO with access to staff administrative assistant who manages current database.

Work Environment/Location:

Portland, OR or work from home. Initial face to face meeting is preferred but not required.
